    Summary

    The Tradeshow and Event Coordinator plays a key role in the execution of tradeshows and internal and external events. This role works under the supervision of the Marketing Communications Manager, and collaborates with the Customer Business Development department, and members of the Marketing and Sales teams to assist in the planning and implementation of tradeshows, and internal and external events.

     

    Essential Duties and Responsibilities:

    1. Support the Marketing department, and company executives, on tradeshows, and internal and external events.
    2. Planning and coordination of all aspects of AlloSource’s tradeshows and events, including but not limited to:
      • registration for attendees
      • hotel accommodations and travel
      • booking booth and/or meeting space
      • sponsorship deliverables
      • exhibition materials
      • food and refreshments
      • marketing materials and promotional items
      • procurement of vendor services
      • presentation coordination
      • exhibit set-up
      • pre- and post-event communications
      • evaluations
    3. Manage vendor relationships applicable to job duties.
    4. Manage event lead generation and ensure communication with appropriate Sales team members.
    5. Travel to tradeshows and represent AlloSource.
    6. Manage logistics for symposiums, education programs or dinners related to tradeshows.
    7. Coordinate and communicate trade show activities, including sign up, logistics of displays and materials, booth graphics, tradeshow feedback and maintain events section on AlloSource websites.
    8. Drive integrated marketing campaigns through tradeshows by ensuring consistent end to end event experience, ensuring AlloSource brand and campaign standards are reinforced.
    9. Assist with event plans that include program objectives, messaging, demo plans and measurable ROI in collaboration with Marketing and Sales.
    10. Track actual costs against planned budgeted amounts in the execution of events, ensuring budgeted figures are adhered to.
    11. Prepare post-event ROI reports, including summary of expenses vs. budget, number of leads qualified and recommendations for level of participation in future.
    12. Travel to tradeshows and represent AlloSource.
    13. Responsible for inventory and maintenance of tradeshow and event booth properties and materials.
    14. Support logistics management for all internal and external events; including food and beverage services, room setup and tear-down, as well as scheduling and organizing meetings.
    15. Adhere to and promote proper practices and techniques which are consistent with current operating procedures, training requirements, safety practices and company policies.  

     

     

    Requirements:

    • Bachelor’s Degree in Marketing, Business Administration, Management, or related field.  In lieu of a degree, 5 years’ experience with tradeshow and event management.
    • 1-2 years’ experience with tradeshow and event coordination
    • Proficiency in Microsoft Office applications, specifically Excel, Word and Outlook

     

    Preferred Experience:

    • Tradeshow Management Certification (CTSM)
    • 2+ years’ experience with tradeshow and event coordination
    • Previous experience with marketing in the healthcare field
    • Experience with Adobe programs
    • Experience with file sharing programs like Dropbox and ShareFile
